Dynamics Gp Partner Newsflash: Custom Forms Security

In Microsoft Dynamics GP version 10.0 User Security model was completely redesigned, and if you are familiar with earlier versions security: 9.0, 8.0, 7.5 and older, then you will need to read or get training on new security architecture of Dynamics GP 10.0. In this small publication we will give you simple instructions on how to enable custom add-on windows access for GP users, who are not granted Poweruser role:

1.Security Tasks. For custom window, please create new security task: Tools->Setup->System->Security Task, here give new task ID, something like Custom Windows; pick category, Financial for example; select Product (Custom Add-On or something like that), Type Windows and mark one or multiple Windows

2.Security Roles. They are for combining several tasks into one role, assuming that your GP user duties are collection of Tasks (Role), and you may have several roles enabled for you: Tools->Setup->System->Security Role, give new role ID, Custom Role, or the like and mark your Custom Window task for the Role

3.Now you will need to assign security role to the user(s) for the specific company: Tools->Setup->System->User Security, here please pick UserID, Company and mark Custom Role. Repeat this step for each user and company as needed

4.Modified Forms and Reports ID. This security object is for altering users access to modified forms and reports (Report Writer and Modifier, similar concept as you may remember it from earlier versions)

5.Power User role. If you assign this role to the user, she/he will automatically have access to all form, including newly installed Dynamics GP customizations. Obviously, you do not want this short cut for everyone, as you probably dont want people to see your GL account balances, employee or vendor summaries and transactions, especially in mid-size or large organization

6.Security architecture upgrade to version 10.0. As you could imagine, security is not easy to upgrade, as the whole model is changed. Default upgrade creates security roles for each individual user (with userid prefix) when you are updating from Dynamics GP 9.0 or 8.0 to version 10.0

7.Security reimplementation for large organization. We assume that for large corporation you may need to review and redesign security roles to map precisely to your Dynamics GP user positions. Feel free to call us: 1-866-528-0577, [email protected]
